    The Position:

    Under the overall guidance of the Country Representative and the direct supervision of the Procurement Associate, the Logistics Assistant delivers effective logistics support to the Country Office (CO) management and supports programme implementation.

    Job Purpose:

    You will support the effective management of UNFPA Senegal programme activities in the areas of procurement and administration.

    Possessing a depth of knowledge of UNFPA administrative rules, guidelines, and processes, you will demonstrate a client-oriented, results-focused approach to interpreting rules, procedures and guidelines. You will act in a support manner to programme / project staff to maximize the impact of travel and logistical services in delivering programmes / projects.

    You would be responsible for:

    • Supporting full compliance of logistics activities with UNFPA’s rules, regulations, policies and strategies.
    • Providing support to the CO travel, logistics and operations business processes and implementation of the internal standard operating procedures (SOPs).
    • Supporting the preparation and implementation of CO procurement plans.
    • Providing travel and logistics support to CO conferences, workshops, retreats.
    • Supporting CO procurement processing and inventories
    • Supporting vendors performance appraisals process (vendor assessment).
    • Supporting the implementation of procurement processes including preparation of RFQ drafts and conducting local shopping, receipt of quotations, bids or proposals; memos for contract award;
    • Creating requisitions and purchase orders when delegated.
    • Creating and modifying Suppliers ID in Atlas;
    • Supporting the CO Shipment Tracker processes
    • Acting as the Procurement Associate back up
    • Supporting CO assets management
    • Performing other tasks as assigned by the Procurement Associate or the Operations Manager.

    Key Outcomes:

    Strengthened UNFPA Senegal capacities in the management of procurement processes.
    Enhanced ability of UNFPA Senegal to fulfil its mission through efficient logistics and procurement processes to better support and achieve sustainable, locally owned and concrete results solutions to end preventable maternal deaths; end unmet need for family planning; and end gender-based violence and harmful practices.

    Qualifications and Experience

    Education

    Completed Secondary Level Education is required. First level university degree in Business Administration, Logistics, Public Administration or similar discipline would be an asset.

    Knowledge and Experience

    • Five (5) years of relevant experience in administrative, Logistics or office management.
    • Proficiency in current office software applications, web-based management and ERP financial systems is an asset.
    • Ability to multi-task and identify and resolve operational problems.
    • Prior UN experience would be an asset.

    Languages

    Fluency in French is required and working knowledge of English is desirable.
